What is Notion?
Notion enables small groups of people to collaborate in real time on documents, tasks, notes, wikis, and databases from various devices. For example, you might set up a Notion workspace for your team to collaborate on a project. The workspace may be used to store all project-related material. And team members may collaborate to update papers in real-time.
Notion may be used for project management in addition to being a productivity tool. You could, for example, make a task list, a calendar for crucial events, a board to track project status, and databases for job administration.
Other productivity and collaboration systems compete with the Notion app. There are other Notion equivalents available, including Microsoft 365, Microsoft Teams, Asana, Monday.com, Trello, ClickUp, Evernote, and the list goes on. Notion is mostly a web-based app, but there is also a mobile version for iOS and Android.
One of the significant distinctions between Notion and Microsoft Teams is that Notion allows you to arbitrarily organise to-do lists, databases, calendars, documents, and other components on a single page.
This is in contrast to Microsoft 365, where programmes like Planner and Lists are separated from one another. Although this is increasingly changing in Microsoft 365 as Loop components are introduced to Outlook and Teams. But more on it later.
How does Notion function?
When you initially log in to Notion, it might be difficult to know where to begin if you don't grasp how the platform is theoretically built to function. Workspaces and pages are used to organise documents, to-do lists, and other Notion components. You can have many workspaces. You can add 'blocks' to one or more pages in a workspace.
Blocks
Each block contains some form of data or media. A block might be as simple as a paragraph of text. It might also be a piece of material, such as a photograph or an uploaded PDF document. A block in Notion can be made up of several distinct sorts of components.
Blocks enable you to customise the look and layout of a page as well as add various sorts of content.
Blocks in Notion, as opposed to Microsoft OneNote, establish a more formal and predictable arrangement for your notes, documents, and other items.
Templates
Workplaces may easily become difficult. While they aren't difficult to set up, you can use Notion templates to rapidly create a workplace that meets your needs. One of the best things about Notion is the big community of users that provides templates for a wide range of purposes.
Many of them may be downloaded for free. Some are available for a modest price. Many templates are available for download from the official Notion template collection.
What is the best way to utilise Notion for papers, wikis, notes, and tasks?
When you first start using Notion, you'll probably want to use it for project documentation, notes, and tasks. Pre-existing material, such as a Word or PDF document, can be uploaded to Notion as a block. However, to fully utilise Notion, add a new page to Notion to build a document that allows you to collaborate in real-time with team members.
Pages can be used to build extensive documentation, wikis, or brief notes. You may also make comments and view the version history, much as in Google Docs and Microsoft Word. To-do lists can also be added.
To add a block to a page, start typing a forward slash (/) followed by the name of the component you wish to add or select one from the list. To add a to-do list, for example, add a new block by hitting ENTER or the addition icon (+) that appears to the upper left of an existing block when you hover your cursor over it, and then write / and to-do. When the context menu displays the To-do list, hit ENTER to choose it.
This approach may be used to add any type of block to Notion, including H1 headers, tables, databases, file uploads, photos, and so on.
You can also add reminders and mention other software.
Team members of Notion
Each Notion workspace has at least one default team space for team collaboration. Any pages uploaded to a team space are accessible to all workspace team members. If you choose, you may add extra team spaces to a workspace. Additionally, you may drag and drop pages across workspaces and team spaces.
Notion allows you to add team members to a workspace by choosing Settings & members in the upper left menu. You may add team members by going to Workspace > Members and selecting Add Members.
Database of Notion
The concept of data in Notion may appear intimidating at first. A Notion database is best compared to a hybrid spreadsheet/database programme. If you're acquainted with Microsoft Lists or SharePoint Lists, you'll be able to get started fast with Notion databases.
A Notion database is just a spreadsheet-like table that can be searched and shown in many ways. You could, for example, establish a database containing employee information and present it in the gallery view, where employee images are displayed as part of a card including other key employee information.
Another example is a database containing information on conference sessions. Change the default view to a calendar view to show the sessions by date and time rather than as a list.
Databases may also be used to manage projects. To-do lists are, of course, valuable as a task management tool. However, creating a database and then using the Kanban board view is a more sophisticated use of Notion. A Kanban board displays the status of a project over a sequence of phases necessary for completion, similar to how a product moves across an assembly line in a factory.
Can We Use Notion Offline?
Offline usage is supported via the Notion desktop programme for Mac and Windows, although the experience is restricted. Before you can work on a page offline, it must be preloaded while you are still connected to the Internet.
In principle, any changes you make to a page while offline should be synced back to your workspace when you come online, but Notion frequently fails to do so. In the future, the firm hopes to fix this issue.
Is Notion available for free?
To get started, Notion offers a free plan. However, the amount of blocks you may construct is restricted, and some functions, such as adding groups or team members, are not available on the free plan.
There are three paid options available:
- Plus (formerly Team)
- Business
- Enterprise
The $8 per user/month Plus Plan includes an unlimited amount of blocks and file uploads, a 30-day page history, and up to 100 guest users.
The Business Plan is designed for businesses that wish to connect many teams and tools to Notion. Everything in the Plus Plan is included for $15 per user each month, as well as additional features such as SAML single sign-on (SSO), private team spaces, 90-day page history, and up to 250 guest users.
- Advanced security
- Controls user provisioning audit logs
- Up to 500 people
- Page history is unlimited.
- And even more.
To obtain a price for the Enterprise Plan you have to contact Notion Sales Department.
Final Thought
However, in my opinion, Notion is better suited to people with some technical experience.
The user interface, like Slack, could be more modern, and it may not be suitable for people who aren't tech-savvy.
Cost is frequently a decisive issue. You should carefully analyse if Notion satisfies your current and future demands, whether it will be accepted by users, and whether it is cost-efficient for your organisation, given that it may necessitate the addition of other tools to suit all of your collaborative needs. Microsoft 365 is a more comprehensive solution, but it might be difficult to manage if you lack the necessary skills and expertise in-house.
